Work with Property Manager to meet asset & property management objectives.
Assist in Building operation inspections, develop course of action for problem resolution and initiates corrective action.
Respond to emergencies including occasional after hours on call duties.
Respond to tenant problems and complaints; conduct investigation and initiate corrective action.
Monitor incoming site inspection reports and deal with issues reported as required.
Visit sites on a regular basis to ensure the standard of the company’s practices are adhered to.
Assist in coordination of all audit process requirements such as, insurance tracking, and vendor set up and compliance as determined by Property Manager.
Process preliminary monthly rent roll reports, and communicate ongoing rental billing changes to tenants, and assist Property Managers in monthly approval process.
Take responsibility for Accounts Receivable for the portfolio to ensure all monthly rents, charge backs and year end invoicing is collected in a timely manner
Assist in the preparation of quarterly management reports and annual budget preparation as requested.
Liaise with leasing and development on items pertaining to the portfolio when required, i.e. showing of vacant units etc.
Perform all administrative functions relating to property management including managing contractual requirements of tenant leases, paying invoices, and collecting rental payments.
Provide assistance for accruals and monthly reporting including variance comments and financial analysis.
Assist in Health and Safety for best practices.
Qualifications:
Candidate should possess post-secondary education.
5 years of experience as a Property Administrator or Assistant Property Manager within a real estate industry or Operations experience, is preferred
Pursuing a property management designation is an asset, such as: RPA, FMA or CPM
Strong understanding of property accounting and ability to interpret financial data
Detail oriented; ability to work under pressure and deliver timely and accurate results.
Proficiency in Microsoft Office and other property management applications (Angus, SAP, Yardi, Argus or JDE).
Proven organizational and multi-tasking skills.
Strong communication skills both written and oral.
Self-motivated, professional and flexible.
Ability to work both independently and with others collaboratively in a team environment.
Strong technical and organizational skills.
Skilled in customer service and tenant relations
Must be able to travel and possess a valid driver’s license.
This is a hybrid role that will be required to work in office, 3 days a week.
